Africa Improved Foods Rwanda Ltd is a manufacturer of highly nutritious quality fortified foods. Our nutrition products are intended to address malnutrition among vulnerable population segments such as pregnant and breast-feeding mothers, older infants and young children especially in the firs
t 1,000 days of their life. To this end, we plan to avail on a commercial scale nutritional products for lifestyle consumer groups in Rwanda and the whole East African Region.

Africa Improved Foods Rwanda Ltd finds Safety Health & Environment towards employees, contractors and casual workers as a top priority, therefore we summarize our most important safety rules into the AIF lifesaving rules. General Job information
Job title: Personal Assistant

Purpose of the job
The job holder plays a key role in planning, managing the Site Director’s calendar, work closely with the Site Director helping him/her to manage their workload, organize their day and free up their time by providing administrative support.
Key Responsibilities
  • Maintaining the Site Director’s diary, scheduling appointments and organizing meetings;
  • Responding to all enquiries and requests;
  • Dealing with correspondence;
  • Office management;
  • Creating and maintaining up-to-date records through filing and archiving, while ensuring the safety and confidentiality of such records;
  • Telephone control and maintain expense within budget;
  • Data capture and typing  accurate all correspondences and reports;
  • Accurate and organized filing of documents;
  • Manage the front office service and ensure quality customer service;
  • Petty cash Administration, neat and accurate petty cash records;
  • Management and control of stationery, timely requisition;
  • Receiving and dispatching of correspondences in the company and to the clients;
  • Assists in other duties as needed and directed.
Knowledge and educational level
Educational level:
  • Higher Diploma in Secretarial Studies;
  • Bachelor’s degree Business Administration, Management or Communication an added advantage
Required level of experiences
  • Working experience of at least 3 years’ experience in similar role
  • Demonstrated proficiency in computer/software packages e.g. Microsoft Word, Excel, and PowerPoint etc.
  • Ability to use office and communication equipment/systems such e-mail etc.

  • Strong inter-personal skills and ability to work in a team-oriented and collaborative environment;
  • Ability to work in a fast paced and highly entrepreneurial environment;
  • Excellent written and verbal communication skills including note taking and summarizing skills and the ability to communicate well at all levels in a clear, appropriate and timely manner;
  • Demonstrated ability to prioritize and handle multiple critical projects and assignments;
  • Strong attention to detail and high level of accuracy;
  • Strong team player with excellent leadership skills.
