BACKGROUND

UMUZABIBU MWIZA is a Christian organization operating in the Musanze District of the Northern Province of Rwanda with a mission of c
ontributing to Rwandan community development through empowering vulnerable women mostly widows and orphans. The organization provides assistance to the women through creating sustainable employment and equipping them with the skill of creating yarn from wool. The organization also provides psychological and spiritual based counseling assistance for the women and community. For a holistic change, the organization enables the children, under the care of each woman, to pursue their primary and secondary education.For the women’sholistic transformation, the organization also equips them withliteracy and financial training.

POSITION ANNOUNCEMENT

ASSISTANT TO THE COUNTRY DIRECTOR

UMUZABIBU MWIZA ORGANIZATION seeks to recruit a Christian, highly self-motivated professional to perform a variety of administrative and clerical tasks for the position of Assistant to the Country Director (CD).

Responsibilities

Responsibilities: include, but are not limited to:

I.          Assisting the CD with daily tasks

II.         Providing support to managers and employees when needed

III.        Represent/assisting the CD in meetings and appointments as requested

IV.        Update and affiliate files as needed

V.         Assist with Human Resource functions

VI.        Analyze and review financial reports requiring CD’s endorsement

VII.       Keep updates of all ongoing project/program and accounting tasks

VIII.      Liaise with external auditors and the committee of the board of directors when requested by the organization or the CD

IX.     Implement strategies for quality productivity of the organization’s fundraising projects and related daily operations

X.         Manage organizational cash flow and forecasting, maintaining strong guidelines and oversight regarding inventory assets

XI.        Maintain contact lists

XII.       Submit and reconcile expense reports

XIII.      Provide general support for tours to visitors (national and international) as needed

XIV.      Managing staff appointments

XV.       Take accurate minutes of meetings

XVI.      Manage and monitor correspondence to ensure that feedback is provided in an accurate and timely manner

Required Skills

I.          Knowledge of office administration procedures

II.         Ability to multi-task while prioritizing tasks

III.        Proficient computer skills including Word, Excel, MS Outlook and PowerPoint, including excellent keyboard skills

IV.        Detail oriented with ability to meet deadlinesin a high-pace environment

V.         Willingness to work overtime, holidays and weekends when necessary

VI.        Ability to learn and work proprietary software

VII.       Ability to work empathetically with the most vulnerable including people living with HIV/AIDS

VIII.      Ability to work with a team

IX.        High level of discretion and judgment, able to work cross-culturally

X.         Ability to read, analyze and interpret the administrative and financial files

XI.        Ability to handle sensitive information and maintain high level of confidentiality

XII.       Proficient in English and Kinyarwanda, with some French

REQUIRED QUALIFICATIONS

I.          University degree in Finance and Administration, Human Resource Management, Business Administration or related field.

II.         Strong Christian character with high moral standards
