JOB   ANNOUNCEMENT
ARTCF   as  a  National   nongovernmental     organization    that  empowering    vulnerable   women   by  raising   their awareness  and increasing  their ability  to graduate  from socio-economic   problems  and be financially  and socially independent,   is looking  for  a responsible   Administrative    Assistant   to  perform  a variety  of  administrative   and clerical  tasks.  Duties of the Administrative   Assistant include providing support to our managers and employ
ees, assisting    in   daily    office    needs    and   managing    our   company's     general    administrative     activities.    The Administrative Assistant performs administrative   and office support activities for multiple supervisors.   Duties may include fielding telephone calls, receiving and directing visitors, word processing,   creating spreadsheets   and presentations,   and filing.  Extensive   software   skills, Internet research abilities and strong communication    skills are required.   The Administrative   Assistant under the supervision of the ARTCF Coordinator,   the Administrative Assistant will have the following responsibilities:
  • Answer  and direct  phone  calls
  • Organize  and schedule  appointments
  • Plan meetings  and take detailed  minutes
  • Write and distribute  email,  correspondence   memos,  letters  and forms
  • Assist  in the preparation  of regularly  scheduled  reports
  • Develop  and maintain  a filing system
  • Update  and maintain  office  policies  and procedures
  • Order office  supplies
  • Maintain  contact  lists
  • Book travel  arrangements
  • Submit  and reconcile  expense  reports
  • Provide  general  support  to visitors
  • Act as the point of contact  for internal  and external  clients
  • Maintains workflow by studying methods; implementing cost reductions; and developing reporting procedures.
  • Creates  and revises  systems  and procedures  by analyzing  operating  practices,  record keeping  systems, forms control,  office  layout,  and budgetary  and personnel  requirements;   implementing   changes.
  • Ensures  operation  of equipment  by completing  preventive  maintenance   requirements;   calling  for repairs;  maintaining   equipment  inventories;  evaluating  new equipment  and techniques.
  • Provides information by answering questions and requests.
  • Maintains  supplies  inventory  by checking  stock to determine  inventory  level; anticipating  needed supplies;  placing  and expediting  orders  for supplies;  verifying  receipt  of supplies.
  • Contributes to team effort by accomplishing   related results as needed.
DESIRED COMPETENCIES   AND QUALIFICATIONS FOR THE ACCOUNTANT
  • At least hold a bachelor's  degree  in Accounting  and Finance,
  • At least five years (5) progressive   experience in financial administration   preferably in a Local or International NGO with multiple fund management experience.
  • Understanding of international and donor accounting standards.
  • Internal and/or external auditing experience.
  • Fluency in English and Kinyarwanda.   Knowledge  of French  is an added  advantage
  • Experience  in use of QuickBooks   2016 version
  • Proven experience  as an administrative   assistant,  or office  admin  assistant
  • Knowledge  of office  management   systems  and procedures
  • Working knowledge of office equipment.
  • Proficiency  in MS Office  (MS Excel  and MS PowerPoint,   in particular)
  • Excellent  time management   skills  and the ability to prioritize  work
  • Attention  to detail  and problem  solving  skills
  • Excellent  written  and verbal  communication   skills
  • Strong organizational   skills with the ability to multi-task
  • Reporting  Skills and Administrative   Writing  Skills,
